Privacy
Vendor applications on this website use the Sage & Rail App. Applying is free — no card hold at apply. After acceptance you select a booth and pay the disclosed booth fee to confirm your spot.
What the interest form stores
The form asks for your name, email, and what you sell. We keep that as a pending vendor record until you sign in and apply. No account is created when you join the list.
Optional marketing measurement
The organizer may enable a Meta Pixel for visit measurement on this website. Accepting marketing cookies may send website activity such as page views to Meta. We do not send your name, email, or what you sell through this website's Pixel.

Vendor applications and booth payments
This section covers vendors who apply for or book a booth at a Sage & Rail Events market. Sage & Rail Events is a d/b/a of FrostLine Works LLC, a Wyoming company ("we", "us").
What we collect
- Application information: your name, business name, email, phone number, business and mailing address, what you sell, vendor type, and your answers to the application questions.
- Uploaded documents: licenses, permits, or clearances you upload, such as a City of Evanston business license or fire marshal clearance, plus the license numbers you enter.
- Acceptance records: which version of the Vendor Agreement and Event Terms, Refund Policy, and Privacy Notice you agreed to, and when.
- Payment information: booth payments are processed by Square. We receive the payment amount, status, card brand, last four digits, and expiration date. We never receive or store your full card number or security code.
- Card on file: To book a booth, you agree to let Square securely store your card so we can charge it for venue damage the City of Evanston assesses to your booth area, as described in the Vendor Agreement. We'll tell you the amount and give you 7 days to respond before any charge. We don't use the saved card for anything else.
How we use it
To review your application, assign and confirm your booth, take payment, give refunds, get the event license from the City of Evanston, communicate with you about the market, and handle any damage assessment.
Who sees it
Uploaded documents are seen only by Sage & Rail staff. To get the event license, we're required to share each vendor's name, business address, phone number, and the items you sell with the City of Evanston, which forwards that list to the Wyoming Department of Revenue for sales tax purposes. We don't share your contact details with anyone else for their own marketing, except a hashed email that may be used for ad measurement as described under Analytics and advertising cookies.
Beyond that, information goes only to service providers that run the application and payments for us: Square, which processes payments and stores cards under its own privacy policy (squareup.com/legal), and our hosting providers. We may also disclose information if the law requires it, for example a valid subpoena.
How long we keep it
- We delete uploaded documents 120 days after the market ends.
- After that, we keep a short verification record for 2 years after the market: the document type, license number if given, who checked it, when, and whether it was accepted. This shows the event was properly licensed. We don't keep the file itself.
- We keep payment, refund, and acceptance records as long as we need them for taxes, accounting, and resolving disputes.
- When you remove a saved card, or after the damage-assessment period for the market ends, we stop using it and ask Square to delete it.
Your choices
You can ask to see, correct, or delete your vendor information by emailing info@sageandrail.com. We'll delete what we can. We may keep records the law requires us to keep, records needed for an open payment or damage matter, and information already filed with the City of Evanston, which we can't recall from the City.

Optional SMS program
Sage & Rail Events may offer optional text updates from the dedicated number +1 (307) 677-9248. Messages are handled through FrostLine Works Control Communications (the platform operator). Apps never talk to the carrier directly with your number for this program.
We only send marketing or event-update texts after an affirmative opt-in: unchecked checkboxes on sageandrail.com/sms (vendor updates vs shopper promotions are separate), an optional unchecked checkbox on a Sage & Rail vendor application, or an approved import of a prior affirmative form answer. Blank answers mean no. Absence of an opt-out is not an opt-in. Consent is not required to participate, apply, or purchase.
We store the exact disclosure text you agreed to, timestamps, and source evidence with your consent record. Reply STOP to opt out, START to resume only if you previously opted in, or HELP for help. Message frequency varies; message and data rates may apply. We retain consent and opt-out history as needed for compliance and program operation. See also our Terms.
